Prepared by Cfurni Team. A procurement checklist for comparing shelf specifications and quotation scope.
Key takeaway: Compare quotations per complete retail pack, with the same material, hardware and packaging scope.
Send shortlisted suppliers the same specification before comparing prices. Define whether one quoted unit means one shelf or a complete retail set. List brackets, fixings, installation instructions and packaging separately.
Copy this RFQ into your inquiry
- Buyer company and destination market
- Product reference or drawing
- Length, depth and thickness with units
- Material and construction
- Finish reference
- Quantity per size and finish
- Shelf count per retail pack
- Included brackets, fixings and instructions
- Sample approval requirements
- Retail and shipping packaging
- Delivery destination and quotation basis
- Target dispatch and arrival dates
Ask suppliers to confirm minimum quantities by variant, sample fees, production timing after approval, quotation validity, payment terms, carton dimensions and gross weight. Missing answers are unresolved items, not confirmation.
Compare materials, hardware and packaging scope before negotiating unit price. Do not infer load capacity from photographs; request supporting evidence and installation conditions. Record the approved sample, drawing revision and finish reference before bulk production.
Specify the order by variant, not just by total quantity
An order for 600 retail packs can mean one finish in one size or several combinations. Give each combination its own row and ask the factory to confirm the minimum quantity for that variant. If your first order is a trial, state which specifications are essential and which can follow an existing production option. Do not describe a target quantity as an agreed MOQ until the supplier has confirmed it.
Ask for a packaging specification before estimating freight
Request the packed unit dimensions, master-carton dimensions, units per carton, gross weight and proposed pallet arrangement where relevant. Separate an individual protective pack from a printed retail box. If an online marketplace is involved, provide the requirements applicable to your actual shipment and ask the supplier to identify what is included. A statement that packaging is suitable for online sales does not establish that a particular test has been completed.
A worked example: why the lowest unit price may be incomplete
Consider two hypothetical offers for a two-shelf retail pack. Supplier A quotes one shelf without a bracket or retail box. Supplier B quotes the full two-shelf pack with brackets and a box. Comparing their headline unit prices would compare different products. Convert both offers to the same retail-pack scope and ask for missing components to be priced before drawing conclusions. This example contains no market price estimate and is not a Cfurni quotation.
Check what happens between sample approval and dispatch
Ask when production timing starts: after deposit, after artwork approval or after the final sample is accepted. Keep target dispatch and target arrival as separate dates. Ask which product or packaging changes would require a new sample and how deviations will be recorded. For a repeat order, reference the previously approved specification rather than assuming the same product name identifies the same material, hardware and finish.
Questions to resolve before issuing a purchase order
- Is the price per shelf, set or packed retail unit?
- Which dimensions and tolerances will be checked against the drawing?
- Are the bracket and fasteners appropriate for the intended installation, and what evidence supports any load claim?
- Does the quotation identify exclusions, payment terms and validity?
- Are carton measurements provisional or confirmed from an approved pack?
- Which specifications are still awaiting buyer approval?
Send a quotation request the factory can evaluate
Cfurni buyers can start with a product reference and the RFQ fields above, then request confirmation of construction, finish, packaging and order feasibility. A clear specification lets the manufacturing team identify uncertainties before a quotation becomes a purchase commitment. Request evidence relevant to your order rather than treating generic claims about factory size or years in business as a substitute for product approval.
Browse floating shelves and solid wood shelving, then request a wholesale quote with your product reference and specification.
Use the same comparison fields for every quotation
- Purchase unit: one shelf, one set or one packed retail unit.
- Material and finish: the same construction, dimensions and reference finish.
- Hardware: brackets, fixings and instructions, with exclusions identified.
- Packaging: protective pack, retail box and master carton specified separately.
- Variant quantities: separate rows for each size and finish.
- Timing: approval milestone, dispatch target and arrival target stated separately.
Break a mixed shelf order into quotation lines
Give each size, finish and retail-pack configuration its own line. Ask the supplier to confirm the minimum quantity and price basis for each line. An aggregate order quantity does not establish that every variant meets the supplier's production requirements.
Use these columns in your inquiry: line number; catalog SKU or drawing revision; dimensions and units; finish reference; shelves per retail pack; retail-pack quantity; total shelf pieces; included hardware; packaging reference; supplier-confirmed MOQ; open questions.
Worked example: count retail packs and shelf pieces separately
This is a hypothetical worksheet, not a Cfurni offer or minimum-order commitment. Line A requests 120 retail packs containing three shelves each, which equals 360 shelf pieces. Line B requests 80 retail packs containing two shelves each, which equals 160 shelf pieces. The combined request is 200 retail packs and 520 shelf pieces. The supplier still needs to confirm each line's minimum quantity, packaging and availability. Never describe 520 pieces as 520 retail packs.
Ask whether pricing is based on shelf pieces, complete sets or packed retail units. Identify brackets and fixings explicitly. When two suppliers use different units, convert their scope to the same complete retail-pack specification before comparing prices.
Record substitutions before approving the assortment
If a finish or pack count is unavailable at the requested quantity, ask for an alternative as a separate quotation line. Keep the original requirement visible and label the change as a proposal. Do not let a cheaper substitution silently replace the requested construction, finish, hardware or packaging.
Keep the approved specification, final quantities and packing assumptions together. Carton dimensions and freight estimates may need revision if the pack configuration changes. Ask the supplier to confirm rather than assuming mixed models share a carton.
Research note: Published supplier forms illustrate the kinds of fields buyers may be asked to provide. See the Bracket & Burl custom-order form and Solid Furniture India RFQ form. These are examples of request fields, not evidence of Cfurni performance or endorsements.
